Privacy policy

VerbaScribe is built around the principle of privacy by design. The audio you transcribe through VerbaScribe Desktop never leaves your workstation — no upload, no telemetry, no third-party API call during transcription. This page details what VerbaScribe.com (the web account portal) collects, why, and your rights.

1. Data we collect on the website

• Account information — first name, last name, email, hashed password.
• Licence and billing — purchased licences, amounts, invoice/receipt numbers.
• Hardware fingerprint — a hex hash sent by the desktop app when binding a licence to a computer. It identifies the machine, not the person.
• Server logs — IP address, browser, visited pages (anonymized after 90 days).

2. Data we DO NOT collect

• Your audio files — they stay on your computer.
• Your transcripts — never uploaded.
• Conversation content, speaker names you assign, custom colours.
• Usage telemetry (start/stop, durations…). VerbaScribe Desktop performs no analytics call.

3. Payment processing

Payments are handled by Paie Québec via Moneris. Your card information is never stored on VerbaScribe servers. We only see the transaction reference number, the last 4 digits, the card type and the authorized amount.

4. Data sharing

No personal data is shared, sold or licensed to third parties. Sub-processors are limited to: the payment gateway (Paie Québec), the email service (transactional verification codes only), and the hosting infrastructure (Canada, Quebec).

5. Your rights

Under Quebec's Law 25 and the European GDPR, you can at any time request access, rectification, deletion or portability of your data. Write to info@hl7ai.com — we respond within 30 days.

6. Cookies

Only one essential cookie is used: the session cookie identifying your authenticated session. No advertising or tracking cookie. No external analytics service.
